Conversion tracking with GA4 and a CRM is the work of teaching Google Ads which click became a lead and which lead became a sale. Whoever sets it up should deliver an audit of what exists, GA4 events through Tag Manager, the click ID (gclid) stored in the CRM, and the sale sent back to Google. Timing depends on scope and runs between 7 and 21 days.
If you’re looking for someone to do this, use this article as a yardstick. It shows what each stage should include, what proof to ask for, and which answers should make you suspicious.
What conversion tracking is and why it stops at the form
Conversion tracking records the action that matters to the business, such as a submitted form, a WhatsApp click or a phone call, and links that action to the ad that brought the person in. Without it, Google Ads optimizes for clicks and you pay for visits.
Most accounts we review before setting anything up have the same problem. The recorded conversion is the visit to the thank-you page, and the sale, which happens days later in the CRM or over the phone, never reaches Google. The algorithm learns from the cheap lead, not from the lead who buys.
GA4 calls the important action a key event. The Google Analytics Help explains that any collected event can be marked this way, and that a key event can become a conversion in Google Ads so you can bid on it. The weak point is the limit. GA4 sees what happens on the website. What happens in the CRM, it only sees if someone sends it.
What the agency should deliver, item by item
A serious conversion tracking deliverable has four parts: audit, setup, CRM integration and proof that it works. Ask for each one in writing before you sign.
1. Audit of what already exists
Before creating anything, someone opens Tag Manager, GA4 and the conversions in the ad account. The goal is to find duplicate tags, conversions counting twice, events without value and goals nobody uses. If the proposal starts straight with setup, the old mess keeps contaminating the new numbers.
2. GA4 and Tag Manager set up
Conversion events come in through Tag Manager with standardized names, and the conversion value is corrected when one exists. If you don’t have the container installed yet, the guide on what Google Tag Manager is covers the basics, and the step-by-step on Google Ads conversion tracking with Tag Manager walks through the tag. If you’re starting from scratch, it’s worth reading how to set up GA4 first.
3. The gclid stored in your CRM
This is where the real integration happens. According to the Google Ads Help page on offline conversions with gclid, you need to turn on auto-tagging, capture the gclid from the URL, store it with the lead record, and upload the sale with that same code, keeping the original uppercase and lowercase letters. The page also says to have a hidden gclid field in every form and to follow cookie consent rules.
In practice, your website form and your WhatsApp button need to carry that code all the way to the CRM. If the agency can’t tell you where it’s stored, the integration doesn’t exist.
4. Proof of each conversion
The final deliverable isn’t “everything is fine.” It’s documentation of what was built and a firing test for each conversion, with the date and a screenshot of the event coming in. Below, we cover how you can check this yourself.
Timelines: how long each scope takes
Basic tracking is ready in 7 days, CRM integration in 14, and the full-funnel version with automation in 21. These are the timelines published on our Google Ads conversion tracking with CRM page, and you can use them as a reference when comparing proposals.
| Scope | Timeline | What’s included |
|---|---|---|
| Essential Tracking | 7 days | Audit, GA4 and Google Tag Manager, up to 8 conversion events, tag deduplication, value fixes, documentation and firing tests. Does not include CRM or offline conversions |
| Full Integration | 14 days | Everything in Essential, plus 1 CRM integration, offline conversions with revenue value, WhatsApp and call tracking with gclid, up to 6 optimized conversions and an essential Looker Studio dashboard |
| Revenue Stack | 21 days | Everything in Integration, plus custom automation in Make, offline conversions by funnel stage, an advanced dashboard with ROAS by source, Consent Mode v2 and 30 days of support after delivery |
All support happens by chat, with no mandatory meetings. The process has four steps. You invite the agency to your account, it audits and rebuilds the tracking, integrates the CRM and connects offline conversions, and finally delivers the documentation with proof of every firing. Ciclicko never asks for your password, only access by invitation.
Be wary of a one-day turnaround for CRM integration. If your CRM is a spreadsheet, it can be fast. If you have forms, WhatsApp and phone calls at the same time, each channel needs its own test.
Offline conversions: what changes when the sale goes back to Google
An offline conversion is a sale that happened outside your website and was sent to Google Ads with the gclid of the original click. It teaches the campaign to look for the type of lead that closes. Our guide on offline conversions in Google Ads shows the full flow.
Two practical points your agency needs to know. The first is the click window. Google’s own help documentation says the click ID is only stored for 90 days, and that some data sources import conversions from up to 90 days back on each run. A sale that closes after that window won’t come back. For long sales cycles, the fix is to send an intermediate funnel step, such as a scheduled meeting or a proposal sent.
The second is value. Sending the full revenue is the simplest way and not always the best. If margin varies from one service to another, it’s worth sending the value that reflects it, a topic covered in the article on conversion value in Google Ads.
How to check that conversion tracking worked
You can validate conversion tracking in five tests that take less than an hour and don’t require any coding. Ask the agency to run each one while you watch, or redo them yourself.
- Open the site through a test ad or a URL with a sample gclid and submit a real lead through the form. Check that the event shows up in the GA4 realtime report.
- Click the WhatsApp button and call from your phone. Each one should trigger an event with its own name, not the same generic click event.
- Open the lead in your CRM and check that the gclid is saved on the record. A lead without a gclid can’t come back as a sale.
- Mark the lead as sold, with a value, and confirm that the offline conversion reached the ad account. Google’s help documentation warns that it can take about two days for the conversion to appear in reports after the action is created.
- Compare the total number of leads in your CRM with the conversions in the account for the same period. A small gap is normal. An account that shows double the CRM is counting twice.
The results of these tests should be in the documentation. If the agency delivers only a nice-looking report, without the tests, you have no way of knowing whether the number is right.
Red flags in the proposal
The main red flag is a promise of more results instead of more clarity. Correct tracking shows you what is happening. It does not guarantee the campaign will sell more, and anyone who promises that is selling something else.
- Doesn’t ask which CRM you use or how the lead reaches it.
- Asks for your password instead of access by invitation.
- Doesn’t mention deduplication, so you end up with conversions counted twice.
- Doesn’t mention Consent Mode and LGPD (Brazil’s General Data Protection Law), even though your site has visitors who decline cookies. The article on Consent Mode v2 explains what the account loses without it.
- Delivers without documentation or a trigger test.
- Charges per event without saying how many are included and which ones.
What Ciclicko does differently
We work with the four blocks above and the three scopes in the table, and nothing starts without the audit. Every conversion goes into the documentation along with the test that proves it, and access is always by invitation. For businesses that sell through WhatsApp, the Google Ads guide for WhatsApp shows why a button click alone is misleading. If your conversion tracking currently ends at the form, that’s where we start.
Frequently asked questions
How do you set up Google Ads conversion tracking with GA4? Create the events in GA4 through Tag Manager, mark the ones that matter as key events, and import them as conversions in Google Ads, or create the conversion tag directly in Tag Manager. Then test each trigger before turning on bidding based on them.
How do you integrate Google Ads with a CRM? Turn on auto-tagging, capture the gclid from the URL, save it in the lead record, and upload the sale with that code as an offline conversion. Your CRM needs a field to store the gclid, and your form needs to fill it in.
What are offline conversions? They are sales or funnel stages that happen outside your website, such as a deal closed by phone, and that you send to Google Ads linked to the click that generated the lead. They teach the campaign to find people who buy.
How long does it take to set up conversion tracking? At Ciclicko, 7 days for essential tracking without a CRM, 14 days with a CRM integration and offline conversions, and 21 days with automation and a full funnel. The timeline changes with the number of channels and events.
Can I do the CRM integration without a meeting? Yes. The process runs through an access invitation and chat, and the proof of each conversion arrives in the final documentation.
How do you know if tracking is set up correctly? Submit a test lead, then check the event in GA4, the gclid in the CRM, and the sale marked in the ads account. After that, compare the CRM total with the total conversions for the period.
