A WhatsApp sales funnel is the path a contact follows inside the conversation, from the first message to the purchase and after-sales, split into stages you can count. The five that work for most small businesses are contact, qualification, proposal, closing and after-sales. A funnel only really exists when each stage has a ready-made message and a number showing how many people went through it.

Plenty of businesses handle WhatsApp well and still can’t say how many of the month’s contacts turned into sales. The service happens, but nobody records where the conversation stopped. This guide builds the funnel stage by stage, with the text of each message, the WhatsApp rule that changes your follow-up, and how to measure everything, including which ad brought in the people who bought.

What a WhatsApp sales funnel is

A WhatsApp sales funnel is the same logic as any sales funnel, applied to a messaging conversation. Everyone who arrives is at a different point. One only wants the price, another has already compared three suppliers, and another is coming back for the third time.

The difference from a website funnel is that here the contact is identified by name and number. You know the number of the person who dropped off and can pick the conversation back up. On the other hand, without records you can’t see anything, because nobody opens a report from a chat.

Search volume shows the topic exists, even if it’s a niche one. According to the Google Ads Keyword Planner, on October 30, 2026, “funil de vendas whatsapp” gets about 90 searches per month in Brazil, with an estimated top-of-page bid of R$22.58. That’s a bid estimated by Google for the top of the page, not what each company pays. Our CPC by industry survey shows how this value varies by market.

The 5 stages of the funnel

Each stage below has a single goal, a template message and a number to track. The table gives the summary, and the sections that follow go into detail.

StageGoalNumber to track
ContactReply fast and understand the requestConversations started per week
QualificationFind out whether the lead can and wants to buyHow many passed the needs question
ProposalSend pricing and termsProposals sent
ClosingAnswer final questions and agree on paymentClosed sales
After-saleConfirm delivery and ask for a referralClients who came back or referred others

What matters is the rate from one stage to the next. If 100 people reach out and only 40 answer the qualification questions, the gap is in the opening, not the price.

Stage 1: contact

The first contact is the moment someone writes to you for the first time, and the goal is to reply with a question, not a catalog. Someone who reaches out through an ad or the Google Business Profile button wants a short, human answer.

An opening message that works:

Hi, this is Marina from the store. I saw you asked about the blue dress. Is it for a specific date?

It says who is writing, picks up the request and ends with a question. An automatic menu with five options pushes away people who just wanted an answer.

The metric for this stage is simple. Count new conversations per week and split them by source: ad, Maps, Instagram or referral, because the source changes what comes next.

Step 2: qualification

Qualification separates people who might buy from people who are just browsing, with two or three questions and no spreadsheet. The goal is to save your time and the customer’s.

The criteria change by business. For a clinic, the procedure and the date. For a manufacturer, the volume and the deadline.

An example of a question that qualifies without feeling like an interrogation:

So I can give you the right price, when do you need this and in what quantity?

The most reliable signal is the person replying with a concrete detail. Someone who says “I’ll check and get back to you” isn’t qualified yet and goes on the follow-up list.

The number to watch at this stage is the reply rate to the first question. If it’s low, your opening is too long or the question is too hard to answer.

Step 3: proposal

The proposal is the message with price, timeline, and terms, and it should fit on one phone screen. Nobody reads a ten-paragraph text, and a PDF with no explanation takes a while to get opened.

Build the proposal in four lines.

  1. What’s included, in one sentence.
  2. The total price and payment method.
  3. The delivery or start date.
  4. A question that invites the next step.

Example:

Here’s the deal. The blue dress in size M, with free tailoring, is R$389, up to 3 installments. I can hold it for you until tomorrow. Would you rather pick it up in store or have it delivered?

The number for this stage is how many proposals were sent and how many got a reply within 48 hours. A proposal with no reply is your biggest stock of hidden opportunity.

The 24-hour rule that changes your follow-up

On the WhatsApp Business Platform, the customer service window lasts 24 hours from the customer’s last message, and outside it you can only send approved template messages. This applies to anyone using the official API, which is the case for almost every CRM or customer service platform.

Meta’s official documentation says that when a user messages a business, a 24-hour timer called the customer service window starts, and it resets if the person writes again before it ends. Inside the window, the business can send free-form messages. Once it closes, you can only send pre-approved templates, and only to people who have opted in to receive messages from the business. The details are in how to send messages with the Cloud API.

In practice, following up on a proposal needs to happen in two windows.

  • Within 24 hours: a short, free-form message that picks up where the conversation stopped.
  • After 24 hours: an approved template message, written in advance, that the platform sends for you.

The same discipline applies on the regular WhatsApp app on your phone. Pick the conversation back up the same day or the next day, before it goes cold.

Stage 4: closing

Closing is the step where you remove the last doubt, and almost always that doubt is timing, guarantee or payment method. There’s no point pushing on price if the real reason for the pause is something else.

Ask what’s missing instead of pushing:

Do you still have any questions about delivery time or payment? If you prefer, I can explain how exchanges work.

Once the sale is closed, confirm the amount, date and payment in the chat. It works as a record. The number for this step is the closing rate on proposals sent, which is the figure business owners like to see most.

Step 5: after-sales

After-sales on WhatsApp is the message you send after delivery to confirm everything went well and open the door to a referral. It’s the cheapest step in the funnel and the most forgotten.

A simple message, sent one or two days after delivery:

Hi, Carla. Did everything arrive okay? If you need any adjustment, just message me here.

The number to track is how many customers bought again or referred someone. It’s the only way to know whether the funnel brings in repeat customers or just one-time sales.

How to measure your WhatsApp sales funnel without overcomplicating it

Measuring your WhatsApp sales funnel means counting how many contacts entered each stage and dividing by the number from the previous stage, once a week.

The minimum for any small business.

  1. A spreadsheet or a CRM with one row per contact and one column for the stage.
  2. The contact’s source, filled in at the first conversation.
  3. The date the stage changed.
  4. The sale value, once it closes.

With that, you can answer three questions that matter. How long does it take from first contact to close? At which stage do most leads drop off? Which source brings the customer who actually pays? Choosing a tool to organize all this is covered in our guide to CRM for WhatsApp.

For the contact stage, links with parameters help you tell sources apart. The step-by-step is in how to build trackable links with UTM.

Connecting the funnel to the ad

When the contact comes from an ad, the funnel only closes the loop if the original click is saved along with the conversation. Without that, the ad gets credit for the conversation that started, but not for the sale.

For Meta ads that open WhatsApp, the Conversions API documentation for messaging describes a click identifier, the `ctwa_clid`. It arrives in the messaging webhook, should be stored with the conversation, and sent back when the conversion happens, such as a purchase. This lets the platform know which ad led to a sale, not just a conversation. The full explanation is in the official documentation.

In Google Ads the logic is the same. A conversation is a weak signal, a sale is the strong signal, and the campaign learns better when it receives the second one. We show how this works in Google Ads for WhatsApp and, in more depth, on the page about Google Ads conversion tracking with a CRM.

Common funnel mistakes

The same three WhatsApp sales funnel mistakes show up in almost every account we review.

  • Replying outside business hours without saying when the conversation will resume.
  • Forgetting a proposal that was sent, with no date set to follow up for an answer.
  • Counting the conversation as the ad’s result and never looking at the sale.

The content that attracts the right contact is also part of the funnel. If you post what customers ask about, you get fewer bare “how much does it cost?” messages and more conversations with context. The content funnel guide shows what to publish at each stage.

How Ciclicko works the funnel

At Ciclicko, the funnel starts before WhatsApp. We define with the company which content and which ads should bring the right contact, write the messages for each stage in the brand’s voice, and set up a way to track what happens after the click. When the company uses a CRM, we connect the sale back to Google Ads so the campaign can learn from it.

Our social media content creation page covers the social media content that feeds the top of the funnel. We don’t promise a number of sales, only that you’ll know where they come from.

Frequently asked questions

What is a WhatsApp sales funnel? It’s the path a contact follows through the conversation, split into measurable stages such as contact, qualification, proposal, closing and after-sales.

How many stages should the funnel have? For a small business, five is enough. More stages only make sense if someone actually logs each one.

Can I message a customer on WhatsApp at any time? On the official API, free-form messages are only allowed within 24 hours after the customer’s last message. After that, you can only send approved templates, and only to people who opted in to receive messages.

How do I know which ad generated a sale on WhatsApp? By storing the click identifier with the conversation and sending the sale back to the platform. On Meta, that identifier is `ctwa_clid`.

Do I need a CRM to have a funnel? To start, a spreadsheet works. With more than one agent or more than 50 conversations per week, a CRM keeps you from losing contacts.

What message should I use to re-engage a customer who went quiet? A short message that picks up the last point of the conversation and asks an easy question, like “Does it still make sense for you to receive the updated proposal?”.
