A CRM for WhatsApp is the system that receives your company’s WhatsApp conversations, organizes each contact into sales stages and records which ad the contact came from. To choose well, check six points: the connection through the official WhatsApp Business API, team inbox, the funnel, the ad click ID, the integration with Google Ads and Meta, and data export. The click ID matters most, because it shows which ad made the sale.

If you get orders and quote requests through WhatsApp, you know the problem. The ad starts the conversation, the sale closes on someone’s phone, and nobody can say which campaign paid the bill. This guide shows how to choose a CRM and connect the results to Google Ads.

What a WhatsApp CRM needs to do

A WhatsApp CRM needs to do three jobs. Bring conversations into one place, show what stage each customer is in, and record where each contact came from.

Many people buy for the first part, the shared inbox, and find out months later that they ended up without the other two. Customer service is answering fast. Managing sales is knowing how many contacts became customers, how long it took and which ad they came from. When you choose, your job is to test the second one.

Official API or WhatsApp Business on a phone

The first technical question is how the tool connects to WhatsApp. There are two paths, and they change what the CRM can measure.

The first is the official API. Meta’s documentation describes the WhatsApp Business Platform and the Cloud API as the way to send and receive messages programmatically, and says the platform relies on webhooks, which deliver every incoming message and every delivery update to the company’s server. The same page lists two rules that affect your day to day. Outside the customer service window, you can only send a message through an approved template, and the customer must have opted in beforehand.

The second path is connecting the regular app through a mirrored session, like WhatsApp Web. Ask the vendor whether this model delivers the ad click code, because the official API’s webhook is what Meta documents for that.

The official API isn’t always necessary. A store with two agents and ten conversations a day may not need it. Anyone who advertises and wants to know what sold almost always does.

The six criteria for choosing, in one table

Use this table as a script for any demo. Ask about each row out loud and have the salesperson show it on screen, not just promise it.

CriteriaWhat to askWhy it matters
WhatsApp connectionDoes it use the official API (Cloud API) or a mirrored app session? The official API delivers webhooks with the ad data
Team inboxCan multiple agents use the same number, with a queue and transfers?Without this, the sale stays on one person’s phone
Sales funnelCan you create stages and move the contact, with a date for each change? The stage date is what later becomes a conversion
Ad sourceDoes it save the click ID (Google’s gclid, Meta’s ctwa_clid) in the contact record?Without the ID, there’s no way to tie the sale to the ad
Ad integrationDoes it send the sale to Google Ads and Meta, directly or through automation? This is what makes the algorithm learn from sales, not from conversations
ExportCan you export contacts, stages and source to a spreadsheet whenever you want?It keeps you from being locked in if you switch tools

If the vendor can’t show you the fourth and fifth rows, you’re buying a message inbox, not a CRM for WhatsApp. It may still be useful, but it doesn’t answer the question of which ad made the sale.

What the ad leaves behind in the conversation

To tie an ad to a sale, your CRM needs to store the click ID. Each platform uses its own, and WhatsApp has a quirk on each one.

Google Ads and the gclid

Google Ads assigns an identifier to every click, the GCLID. Google’s help page on importing offline conversions says to save these IDs along with the lead data, and to include the conversion type and the date it happened for each sale you send back.

The weak spot with WhatsApp is that the link to the chat doesn’t carry the gclid on its own. If someone clicks the ad, lands on your site and then taps the WhatsApp button, the chat opens with no code at all. For your system to keep the source, your site has to capture the gclid before the tap and pass it to the CRM, through a short form or a parameter recorded along with the contact. This is the step that tends to break, and it’s worth testing with a real click before you sign up for any plan.

When there is no gclid, Google has a second path: conversions optimized for leads. According to Google’s help page, they use the customer’s own data, such as email and phone number, sent hashed with SHA256, to reattribute sales that happen outside your site. For WhatsApp, the phone number is data your CRM already has. What’s missing is someone having captured that number at the moment of the lead as well.

The step-by-step for sending the data is in our guide to offline conversions in Google Ads. One warning if you have your own script. Google’s help page states that, starting June 15, 2026, offline conversion import moved to the Data Manager API and was blocked in the Google Ads API. Confirm this with whoever wrote your integration.

Meta and the ctwa_clid

In Meta ads that open a WhatsApp chat, the code is called ctwa_clid. The Conversions API for business messaging documentation explains that it is unique per click and reaches your business inside the referral object of the messages webhook, when the person starts the chat from the ad. The recommendation is to store it with the conversation and send it when a conversion happens.

The same page lists the requirements. You need an integration with the WhatsApp Business Platform, with the Cloud API as the recommended option, plus specific advanced permissions. Without the ctwa_clid, you can still try matching by hashed phone number or email, but Meta warns that this only attributes interactions from the last 7 days, is available in few countries, and that the click ID is always the better choice.

A CRM for WhatsApp that works for ads is one that receives the webhook, extracts these codes and keeps them on the contact record, without depending on someone typing them in.

What the search for a WhatsApp CRM costs

The search “crm para whatsapp” gets 1,000 searches per month in Brazil, and “whatsapp business crm” gets 70, according to the Google Ads Keyword Planner in October 2026. The estimated top-of-page bid is R$60.27 for the first and R$63.69 for the second.

This figure is Google’s estimated top-of-page bid in October 2026, not what each company pays. If you want to compare with other markets, see our survey of CPC by industry.

Questions to ask before you sign

Bring this list to the sales conversation and write down the answers.

  1. Is the WhatsApp connection through the official API or through a mirrored session of the app?
  2. Are the Google and Meta click IDs saved in the contact record? In which field?
  3. Can you move a contact to another stage and record the date of each change?
  4. Is the closed sale sent to Google Ads and Meta through a native integration, an automation, or only by spreadsheet?
  5. Who maintains the integration if it breaks, and how will I find out?
  6. Can I export all contacts, stages, and sources in whatever format I want?

If the answer to question 4 is a spreadsheet, that’s not a flaw. For a few sales per month, uploading a file with the right date works. The flaw is finding this out after paying for an annual plan.

Red flags in the demo

A few signs show the tool will deliver less than it promises.

  • It talks about “ad integration” but never shows a screen with the contact’s source.
  • The report shows conversations per agent, but not sales per campaign.
  • The funnel stage changes and the system doesn’t record the date.
  • The contract locks in your data, with no export.

How to connect it all in practice

Once you’ve chosen the CRM, the setup has four parts.

  1. Your website captures the gclid and UTMs at the click and passes them to the CRM along with the lead’s phone number. UTMs are explained in the UTM guide.
  2. The CRM receives the conversation through the official API and saves the ctwa_clid in the contact record when the ad is from Meta.
  3. Your sales team moves the contact through the pipeline stages. The stage that matters to Google is the one that shows real intent, like quote sent or sale closed.
  4. The conversion goes back to Google Ads and Meta with the date and, when possible, the value. For more on value, see how to send margin and qualified lead data.

If your question is how to advertise and track who messages you, the Google Ads for WhatsApp guide covers the ad side. And if you have an account running and want to know whether it is being trained by the right signal, a Google Ads audit looks at exactly that.

If you are still building your CRM foundation, without a focus on WhatsApp alone, you can start with the CRM for small businesses guide, which covers what the system needs to have, regardless of channel.

Frequently asked questions

What is the best CRM for WhatsApp? There is no single best one for everyone. The best one uses the official API, stores the ad click ID in the contact record, and sends the sale back to Google Ads and Meta. Test these three points in the demo before comparing price.

Does WhatsApp Business have a CRM? The WhatsApp Business app is built for customer service. Sales funnels, team inbox and sending sales to Google Ads depend on a connected CRM, preferably through the official API. Check each item in the demo.

How do you integrate a CRM with WhatsApp? Through the WhatsApp Business Platform, which delivers messages to the CRM via webhooks. Meta’s documentation requires a business portfolio, a WhatsApp account and a business app. The CRM vendor usually guides you through this connection.

Can a CRM tell which ad generated the sale on WhatsApp? Yes, if it stores the click ID. On Google, it is the gclid captured on the website before the button tap. On Meta, it is the ctwa_clid that arrives in the webhook when the conversation starts from an ad that opens WhatsApp.

Can I use a spreadsheet instead of a CRM for WhatsApp? You can, as long as volume is small. The spreadsheet needs the contact, the sale date and the gclid. The limit shows up when more than one person handles conversations.

Do I need the official WhatsApp API? If you only reply to customers, maybe not. If you want to measure ads or send outbound messages through templates, the official API is the path Meta documents.
